Privacy policy

This policy explains how Chumile Travel & Tours (“Chumile”, “we”, “us”) handles personal information when you visit this website, request a quote or book a trip with us. We process personal information in line with the Protection of Personal Information Act 4 of 2013 (“POPIA”). Items marked like this (to be confirmed by Chumile) are to be confirmed by Chumile.

1. Who we are

Chumile Travel & Tours is the travel subsidiary of Chumile Holdings. For the purposes of POPIA we are the responsible party for the personal information described here. Our head office is at Radisson Blu Hotel, Cnr Marine Drive & 9th Avenue, Summerstrand, Gqeberha 6001.

2. What we collect

We only ask for what we need to run your trip:

  • Contact details — your name, mobile number and email address.
  • Trip details — pickup and drop-off addresses, dates and times, flight or ship details, the number of passengers, luggage, and any special requests you tell us about (for example a child seat or accessibility needs).
  • Lead passenger details — if you book for someone else, the name and mobile number of the person we should meet. Please make sure they know you are sharing their details with us.
  • Account and billing details — for corporate and government clients, the company name, billing contact, VAT number and purchase-order references.
  • Messages — what you send us by WhatsApp, SMS, email or phone about a booking.
  • Basic technical information — such as your device type and pages visited, which our hosting provider records to keep the website secure and working.

We do not ask for identity numbers, and we do not collect special personal information (such as health information) unless you choose to tell us about a need so we can help — for example, wheelchair access.

3. Why we use it

We use your personal information to:

  • give you a price, confirm your booking and send you updates about it;
  • plan the trip, assign a vehicle and driver, and track your flight so we can adjust to delays;
  • contact you on the day, including your driver's details before pickup;
  • invoice you and keep proper financial records;
  • deal with questions, complaints, lost property and incidents; and
  • meet our legal obligations, for example tax and transport regulations.

We process this information because it is needed to perform our agreement with you, to comply with the law, or for our legitimate interest in running a safe and reliable transport service. We will only send you marketing messages if you have agreed to receive them, and you can opt out at any time.

4. Who we share it with

We never sell your personal information. We share it only with:

  • Your assigned driver, guide or coordinator — the details they need to collect you and complete the trip.
  • Service providers who help us operate — for example our website hosting, email and messaging providers (such as WhatsApp and SMS gateways) that deliver your confirmations and updates. They may only use your information to provide their service to us.
  • Tour and activity partners — if your itinerary includes a third-party activity, lodge or park, the details they need to host you.
  • Authorities — where the law requires it, or where it is necessary to protect someone's safety.

5. Transfers outside South Africa

Some of our service providers (for example email, messaging or cloud hosting) may store or process information on servers outside South Africa. When this happens we use providers that are bound by data-protection laws or agreements offering protection comparable to POPIA, as section 72 of the Act requires.

6. How long we keep it

We keep booking information for as long as we need it to deliver your trip and deal with any follow-up, and then for as long as South African tax and accounting law requires us to keep financial records. Current proposed period: booking records kept for 5 years after the trip (to be confirmed by Chumile). After that we delete it or anonymise it so it can no longer identify you.

7. How we protect it

We use reasonable technical and organisational measures to protect personal information, including secure (HTTPS) connections, access controls so staff and drivers see only what they need, and private booking links that are hard to guess. If we become aware of a security compromise affecting your information, we will notify you and the Information Regulator as POPIA requires.

8. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and request a copy of it;
  • ask us to correct information that is inaccurate, out of date or incomplete;
  • ask us to delete information we no longer have a lawful reason to keep (we may need to keep some records to meet legal obligations);
  • object to processing, and withdraw any consent you have given — including for marketing;
  • lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

To use any of these rights, contact our Information Officer (below). We may need to confirm your identity before we act on a request, and we will respond within a reasonable time.

9. Cookies

The website uses only the cookies and browser storage it needs to work — for example to keep staff signed in or remember details you have entered in the booking form. We do not use advertising cookies. If we add analytics in future, we will update this policy first.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
